Preparing Lot Data for Import

All the cataloguing text must be prepared in CSV file (comma-separated values) so that it can be imported into the system.

In this example you can see what cataloguing information is included, the order of columns and their format.

 

A CSV template file is available here.

 

CSV files can be prepared in applications like Microsoft Excel.  Simply build your spreadsheet of data and click [Saved As] changing the file format to .csv.

 

Note : The column text and column order must match the template exactly for successful upload.

The CSV file must contain the following columns in this order.  

Any fields marked * indicates that they are mandatory so cannot be left blank.

Whole number 0 – 99999

Lot numbers must be allocated at point of uploading the lot onto the system and must be a unique within the CSV file. If a lot number already exists for the auction any data against the same lot number will over write existing data. See notes below regarding 'a' lots.

Catalogued *

TRUE or FALSE

Indicates whether or not a lot has been fully catalogued for admin use.   This field MUST state either TRUE for catalogued for FALSE for not catalogued

No decimals, no commas and no currency symbols

High Estimate *

Whole number 0 – 99999

No decimals, no commas and no currency symbols

Reserve *

Whole number 1 – 99999

No decimals, no commas and no currency symbols

ARR *

TRUE or FALSE

Indicates whether ARR is applicable. This field MUST sate either TRUE to indicate ARR is applicable or FALSE if it is not

Cites *

TRUE or FALSE

Indicates whether a Cites is applicable. This field MUST sate either TRUE to indicate Cites is applicable or FALSE if it is not

VATScheme *

Free text – must match an existing system value

Ensures that the correct symbol is applied in the public view

 

Important things to note:

Once the CSV file has been prepared and saved, it's ready to upload.
